Delivering video on Workspace

Workspace lets you connect short client films, highlights and clips to a Client Gallery so the video and photographs can be experienced together.

Before you upload

Direct video upload is available on Pro and Pro+. Each file must:

  • be an MP4;
  • be no longer than 15 minutes;
  • be no larger than 20GB; and
  • fit within your remaining video-storage allowance.

Pro includes 30GB of video storage and Pro+ includes 60GB. These are total storage allowances; the 20GB maximum still applies to each uploaded file.

Upload a video to the Media Library

  1. Go to Website → Media Library.
  2. Select Upload Video.
  3. Drag and drop the MP4, or browse for the file on your computer.
  4. Allow the upload and processing to finish before connecting the video to a gallery.

Add a Media Library video to a Client Gallery

  1. Open the gallery from the Dashboard.
  2. Select the cog icon to open Settings.
  3. Find Embed Videos.
  4. Select + Add from Media Library.
  5. Choose the video and configure how it should appear.

Choose how the video appears

Feature Video displays the film prominently when the client enters the gallery, together with a heading.

Video Page/Section adds the film to a dedicated video area. This is useful when delivering several short films or separate client reels.

Embed into Gallery places the video within the flow of photographs. Use the position setting to control where it appears.

Sell Type controls whether an uploaded Media Library video is free or uses the Clip, Short Story or Feature pricing configured in your price list.

Add a video using a direct MP4 URL

The gallery’s + Add URL option requires the direct URL of an MP4 file. A normal Vimeo or YouTube page link will not work in this field.

  1. Open the gallery and its Settings.
  2. Find Embed Videos and select + Add URL.
  3. Add the title and paste the direct MP4 URL.
  4. Select Save.

A video added by direct MP4 URL is available for playback only. It cannot be sold or supplied as a download through Workspace.

Add a Vimeo or YouTube video to your Workspace website

  1. Go to Website → Website Pages.
  2. Create or edit the page where the film should appear.
  3. Add a Video widget.
  4. Choose YouTube or Vimeo and add the video URL.
  5. Add a clear button or link to the relevant Client Gallery.
  6. Save and publish the website page.

Privacy on Vimeo or YouTube is managed separately and does not inherit the Client Gallery password or access settings.

Check before sharing

View the result as your client will see it. Confirm that the video plays, its position and heading are correct, and any price or download setting works as intended.
