If you feel a bit overwhelmed the first time you look into Projects we understand!

It's like learning to drive — complicated to start with but it gets easier, and soon you wonder how you could do without it.

Projects are the beating heart of Client Management (CRM). Where the work happens. How you manage everything from photo shoots and post-production to administration and everything else you need to make time for.

Here's how to understand Projects in Workspace, starting with some definitions.

Projects, Tasks and Events

Think of a Project as a series of activities with a common goal.

Easy example: a photographer’s coverage of a wedding.

A Task is one of the activities necessary to accomplish the goal.

Tasks related to the wedding coverage might include:

  • Agreeing terms and costs with the bride and groom
  • Preparing your gear for the wedding day
  • The photo shoot itself
  • Processing the image files and uploading a gallery
  • Designing and ordering an album

Not all Tasks need to be linked to Projects, or to Clients. You could set up tasks to “Paint the studio” or “Pay the bills” for example.

An Event is a scheduled, customer-facing activity happening at a time and place agreed with a client. Events associated with our wedding coverage might include:

  • An engagement shoot
  • The wedding shoot
  • An album planning session

Events are created within Projects and associated with them. They can include an event type (eg a photo shoot) and the time, date, duration, location and address.

Calendars and Contacts

The activities and commitments detailed in your Projects and Tasks are automatically added to your Workspace Calendar and linked to the Client or Contact involved.

  • On the Project or Task screen you can see everything about the client.
  • On the Client or Contact screen you’ll see all the activities associated with them.
  • On the Calendar, opportunities and scheduling conflicts will be immediately visible.

With those concepts in mind we can set up our first Project.
