Calendar, Filters and Boards

Before you start

Before continuing, we recommend you complete:

Calendar and Contacts

The activities and commitments detailed in your Projects and Tasks are automatically added to your Workspace Calendar and linked to the Client or Contact involved.

Those connections and links are very powerful:

  • On the Project or Task screen you can see everything about the client.
  • On the Client or Contact screen you’ll see all the activities associated with them.
  • On the Calendar, opportunities and scheduling conflicts will be immediately visible.

Assuming you worked through the exercise in Project #1, you can verify how this works:

  • Client Management / Contact, and select the Contact you used from the contact list
  • Client Management / Calendar, and bring up the dates for the Event and Task you set up.

Filters

The Calendar screen also has links to your list of Tasks and to “Boards”.

Both offer handy filters — Active tasks and/or Completed or Cancelled. You can restrict the tasks you see further by selecting Overdue or Urgent.

So for example you might filter for Active tasks that are Overdue or Urgent.

This is a great way to focus on what needs to be done without erasing what you've done already.

Boards

Boards offer another way to manage your work by dividing them into Buckets or Boards (think “white boards”).

Boards are a manual operation, so you can set up them up any way that suits you, like “This Week”, “Finance” or “Image Editing”. So you could bring up your Finance Board and do all your book keeping and tax returns at once.

Simple or elaborate

A wedding coverage can be a complicated undertaking, but an online booking for an hour-long photo shoot, for example, is likely to be very straightforward.

Your Projects can be as elaborate or simple as you need them to be. When you’re adding a new Project or Task just “take what you need and forget the rest”.

All these tools have one goal: to help you work as productively and efficiently as possible. Start simple and add details as you explore or feel the need.
